HEC Member Districts (FY10)

The following districts are eligible for reduced member rates: Amherst, Amherst-Pelham, Belchertown, Chesterfield-Goshen, Conway, Deerfield, Easthampton, Erving, Franklin County Technical School, Frontier Regional, Gill-Montague Regional, Granby, Greenfield, Hadley, Hampshire Regional, Hatfield, Hawlemont Regional, Leverett, Mohawk Trail Regional, New Salem-Wendell, Northampton, Orange, Pioneer Valley Regional, R.C. Mahar Regional, Rowe, Shutesbury, Smith Vocational High School, South Hadley, Southampton, Sunderland, Ware, Whately and Williamsburg.

Registration Guidelines

Please register via mail, fax, e-mail. Payment in the form of a check, a Purchase Order number, or Visa, MasterCard, or Discover Card should be provided. Phone registration is discouraged, but will be accepted for those registering one week or less prior to the starting date of the program in which they are registering for. Acknowledgements will be mailed upon receipt of a registration and a letter confirming the event's schedule and directions to the site will be mailed five to seven days prior to the start date of the event. Should final enrollment prove insufficient to run the program as planned, a notice indicating program cancellation or site change will be substituted. If you do not receive a final confirmation or cancellation notice, please call HEC Professional Services at 413-586-4900 x183 before going to the event.

Withdrawal Policy


Written withdrawals addressed to HEC Professional Services via mail, fax, or e-mail are accepted without penalty up to five working days prior to the start date of the event. After that time, there will be no refunds or billing adjustments and registrants in free programs may be responsible for meal and materials costs incurred on their behalf. Participants who register and are then unable to attend may send a replacement. Substitutes should note the change on the event sign-in sheet, and contact the coordinator of the event so that billing can be adjusted, if need be. The original registrant is responsible for notifying his/her supervisor of the change.

Billing Policy


When educators register for our events, we must assume they are doing so in accordance with policy in their local school district. We bill according to instructions given by the registrant and cannot be responsible should any registrant fail to follow his or her school system's internal procedures. Only educators from HEC member districts are eligible for discounted member rates. Any POs received with incorrect pricing will be corrected and billed at the proper rate for the submitting system.

Weather Delay/Cancellation Policy

Many of our presenters are in demand nationally and schedule trainings a year or more in advance. We do not cancel their programs in poor weather; however, we do delay openings when conditions force slow travel on main roads. Please call the Collaborative after 6:30am the morning of the event for confirmation of any delay. Listen carefully to the voice mail options. A voice mail selection is set up for the purpose of listing cancelled workshops due to inclement weather and any cancellations will be posted there by 6:30am. If yours is not listed, then it has not been cancelled.

We are unable to make and/or take all the calls necessary to notify participants in the event of a cancellation, so please utilize our phone messaging system to receive the updated information.

If the event is cancelled, every attempt will be made to re-schedule it, and you will be notified at a later date as to whether or not it has been rescheduled.

Cancelled events will be refunded if not rescheduled. However, if the workshop is not cancelled by the Collaborative, payments will not be refunded.

All participants are asked to complete a written evaluation form at the conclusion of each program.
